How we collect, use, and protect your information.
Gyankosh Academy delivers in-person generative AI and machine learning training in the Toronto area, along with one-to-one consultations and business services. This policy covers the Gyankosh Academy website and everything you do through an account on it. We are the organisation responsible for the information described here; you can reach us at academy@gyankosh.ca.
We only collect what a booking or an account actually needs.
Your account. Your email address and your name. If you sign in with Google or Apple we receive your email address and name from them and nothing else: no contacts, no calendar, no files. We never see your Google or Apple password.
Course registrations.Which course and batch you booked, what you paid, whether payment succeeded, your attendance for each session, and any credit balance or cancellation you have. If you nominate someone to take your place, we store that person's name and email so we can invite them.
Consultations. Your name, email, the date and time you booked, the topic you described, and whether the session is online or in person. An online consultation is recorded and transcribed.
Reservations. Your name and email, so we can tell you when a batch opens.
Enquiries. The name, email, company, team size, topic and message you type into the enquiry form. This is emailed to us and is not stored in our database.
Payment details.Card numbers never reach our servers. They go directly to Stripe, our payment processor. What we keep is what we need to show you and to take an agreed payment: the card brand, the last four digits, and Stripe's own references for your customer and payment records.
Staff activity. If a member of our staff acts on your registration (a refund, a credit, a cancellation) we record who did it and why. That record is about our staff, and it exists so that decisions affecting you can be explained.
To run the thing you asked us to run: create and secure your account, take payment, hold your seat, send confirmations and reminders, give you the course materials you are entitled to, take the register, and handle cancellations, credits and refunds under our published cancellation policy.
We also use it to answer you when you get in touch, and to meet our legal and accounting obligations.
We do not advertise to you, profile you, or sell your information to anyone. The site runs no analytics, no advertising pixels and no third-party trackers of any kind. We do not send marketing email unless you ask us to.
Our database and course files are hosted in Canada. The other services above (payments, email, calendar, website hosting and sign-in) may process information in the United States or elsewhere, so some of your information still leaves the country and may be accessible to courts and authorities there under their laws. By using Gyankosh Academy you are asking us to provide a service that works this way. If that is not acceptable to you, please contact us before booking.
Your account and its registration history stay while your account is open, so that you keep access to the materials for courses you have taken and we can honour any credit you hold.
Records of payments are kept for as long as tax and accounting law requires, which is longer than the account itself. Reservation entries are removed once the batch they refer to has run. Enquiry emails are kept in our inbox as ordinary correspondence.
Every online session is recorded and transcribed, and Microsoft Teams may make AI notes of it. The recording and transcript (your name, voice and video if you turned it on, and anything you shared) are kept in our Microsoft 365 OneDrive. Only the registered students of that batch can open the recording, through their dashboard, for 12 months after the session; after that it is kept for our staff only.
Online consultations are recorded and transcribed the same way and kept in the same OneDrive. A consultation recording is never shared through the website or with anyone else; we send it to you if you ask.
You can ask us to show you what we hold about you, correct anything wrong, delete your account, or send you a copy of your information. Email academy@gyankosh.ca and we will respond within 30 days.
Deleting your account removes your profile and sign-in. We may need to keep payment records that the law requires us to retain, and we will tell you if that applies to you.
If you are in Canada and we have not resolved your concern, you may complain to the Office of the Privacy Commissioner of Canada.
Traffic to the site is encrypted. Our database enforces access rules per row, so one student's records are not reachable from another student's session, and staff access is limited by role and recorded when it is used. No system is perfectly secure, but we do not keep what we do not need, and card numbers in particular never reach us.
If we change how we handle your information, we will update this page and the date at the top of it. If a change is significant and affects you, we will email you rather than rely on you noticing.
